Overview of Outlook on a Program Laptop

Communication is an integral part of the MBA Program. It is essential to communicate with fellow students, faculty, and staff. Exchange partnered with Outlook is the configuration for student workers, School of Business graduate students, faculty and staff. This combination is a robust e-mail system that provide a comprehensive set of utilities and features. Outlook on your program laptop has be pre-configured to connect to the ASU Exchange farm. There is a short bit of configuration that must happen the first time Outlook is started. These instructions will overview the first-time configuration and highlight important features configured in Outlook.

  1. Start Outlook on your program laptop by choosing the application icon from the program list or clicking the icon from the Quick Launch toolbar .

  2. When Outlook starts the program must complete a few short installation steps. You will see a dialog box showing Outlook installing.

  3. You will be prompted to login to the Exchange server. Be sure to enter the domain before your ASURITE ID login name.

  4. After the first login, Outlook will configure briefly then prompt for a second login. It is necessary to enter the domain again.

  5. For certain individuals with a common name, Outlook may prompt to clarify. Not everyone will see the following screen. When Outlook cannot determine the user, select your correct name from the available list and click OK.

  6. As part of the final configuration, Outlook will prompt of user information that is used to populate document creator information.  Enter your name and initials and click OK.

  7. Outlook has completed the configuration process. Outlook is configured to access your ASU Exchange account.  Outlook will now access your account including your inbox and calendar. There are certain elements configured in Outlook that you should be familiar with. The following screen highlights three important areas.
    • Section A - Your Exchange mailbox have various system folders that makeup your account. Your inbox, calendar, contacts and sent items are all part of the ASU Exchange mailbox. Individuals have as 250MB quota limit for all the folders on the Exchange Mailbox. If you exceed the mailbox quota you will not be able to receive any messages. You will receive an e-mail notification as you near the quota limit. Users should practice good data management and move large attachment emails off the server to a local location.

    • Section B - Local PST named Personal Folder.  This Personal Folder is located on the laptop hard drive that can be used to archive any mailbox items.  Additional organization folders can be created under the Personal Folders PST.  This Personal Folder allows a user to conserve and manage their server quota.  When a mailbox item is moved into the Personal Folder it is only available from the local laptop.  Keep important items on the ASU Exchange Server Mailbox until complete then archive them off to the Personal Folder.

    • Section C - Public Folder provide access to community areas on the Exchange Server. Some departments or groups have a general e-mail address that multiple people access. Community e-mail address will be located in a Public Folder.
